Privacy Policy

This policy describes, in general terms, the data the ctReadySim platform processes and why. It reflects how the software is designed to operate; each organization that deploys or subscribes to the platform is the data controller for its own users and remains responsible for its own privacy notices and legal obligations.

Who this applies to

The platform is a business-to-business training tool. Accounts are created and managed by organizations for their own trainees, trainers, and administrators. It is not directed at the general public, and it does not knowingly collect information from children.

Information processed during training

  • Account information: name, email address, role, and organization membership.
  • Training records: assigned scenarios, session results, evaluation scores, and coaching notes.
  • Voice recordings and transcripts of simulated calls, where a session is recorded.
  • Usage and audit records used to operate the service and maintain accountability.

Trainees interact with simulated participants performed by an AI system. Scenario content is authored by trainers and organizations; it is fictional and controlled by the platform.

AI processing

To perform a simulated participant and to assist with evaluation, session audio and transcripts are processed by a third-party AI provider on the platform’s behalf. AI access is controlled server-side; the AI model is not given direct access to the platform database. Evaluations are AI-assisted and reviewable by trainers.

Demo and contact requests

If you submit a demonstration request, we process the details you provide — such as your name, work email, organization, role, approximate number of trainees, and message — solely to respond to your request. We also record basic technical metadata (such as IP address) to help prevent abuse. Submitting a request does not create an account.

How information is used

  • To deliver training simulations and produce evaluation results.
  • To let trainers review sessions and provide coaching.
  • To operate, secure, and support the service.
  • To respond to demonstration and contact requests.

Platform data is not sold. It is not used for advertising.

Data separation and access

Each organization’s data is logically separated by tenant. Access within an organization is governed by role-based permissions. Sensitive actions, including score overrides, are recorded in an audit log.

Retention

Recording and transcript retention windows are configurable per deployment, and older records may be purged on a schedule. Organizations should configure retention to match their own policies and applicable law.

Your choices

Because organizations administer their own accounts, requests to access, correct, or delete personal information should be directed to the organization that manages your account. Organization administrators can contact us for assistance.
